Job Description

Entry level professional with some administrative background. The administrative coordinator depends on others for instruction and guidance. He or she understands the work process and its importance and uses existing clearly defined procedures and escalates when appropriate. Always delivers the highest standard of support in administrative and junior project management duties. Has knowledge in internal policies and procedures. The administrative assistants provides support to management ranging from Junior to Executive level
An administrative coordinator is responsible for administrative and basic project management related duties while understanding the business context and environment of superiors. In addition to the administrative tasks described in an administrative assistant role, an administrative coordinator may be asked to work on specific reporting which requires analytical thinking and or gathering data from various places and people, prepare presentations, plan and organize events, write communication, and drive projects end to end.

Key Responsibilities:

  • Manage and maintain the executive’s complex calendar, scheduling meetings (internal/external), appointments, and calls.
  • Coordinate across multiple time zones if necessary.
  • Anticipate and resolve scheduling conflicts proactively.
  • Act as the professional first point of contact (Gatekeeper) for the executive, screening and directing incoming calls, emails, and correspondence.
  • Draft, proofread, and edit professional emails, memos, letters, and internal communications on behalf of the executive.
  • Handle confidential and sensitive information with the utmost discretion.

Required Skills & Competencies:

  • Organizational Excellence: Ability to keep multiple systems (files, calendars, inboxes) tidy and structured, ensuring important information is always accessible.
  • Time Management & Prioritization: Proven ability to manage a high volume of tasks, prioritize effectively based on urgency and importance, and meet deadlines consistently.
  • Attention to Detail: Meticulous approach to all tasks, from proofreading documents to tracking expenses, ensuring zero errors.
  • Exceptional Communication (Written & Verbal): Clear, concise, and professional communication in all interactions, representing the executive with a polished demeanor.
  • Confidentiality & Discretion: Absolute ability to handle private, sensitive, and proprietary information with integrity and discretion. This is non-negotiable.
  • Interpersonal Skills: Ability to build positive relationships and communicate effectively with colleagues, clients, and external stakeholders at all levels.
