JOB DESCRIPTION

As an Executive Assistant at Capgemini in Pune, you will provide comprehensive administrative and operational support to senior leadership, acting as a trusted partner who keeps things running smoothly behind the scenes. Your day-to-day responsibilities will include managing executives’ calendars, coordinating meetings, handling emails and communications on their behalf, arranging domestic and international travel, preparing reports and presentations, and following up on key action items to ensure deadlines are met.

JOB RESPONSIBILITIES

• Manage and maintain executives’ calendars including scheduling meetings, appointments, and travel arrangements
• Coordinate internal and external meetings by preparing agendas, presentations, and meeting minutes
• Handle correspondence, emails, and phone calls professionally on behalf of senior executives
• Serve as the primary point of contact between executives and internal teams or external stakeholders
• Arrange domestic and international travel including flights, accommodation, and detailed itineraries
• Prepare reports, presentations, and documents as required by leadership
• Maintain records, files, and confidential information securely and in an organized manner
• Support budgeting, expense tracking, and vendor management activities as directed

REQUIRED SKILLS

• Proficiency in Microsoft Office tools — Word, Excel, PowerPoint, and Outlook
• Excellent verbal and written communication skills in English
• Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously
• High level of discretion, confidentiality, and professional maturity

QUALIFICATIONS / PREFERRED SKILLS

• Bachelor’s degree in Business Administration, Management, or a related field
• Prior experience as an Executive Assistant or Administrative Assistant is preferred
• Exposure to data analysis, KPI tracking, or process improvement activities is a plus
• Ability to organize events, manage vendor relationships, and support business operations is an added advantage
